This Return Policy outlines the cancellation, refund, and amendment procedures for cycling event organising services purchased from Tendonsenergy through tendonsenergy.ddd. As our products are event-based services rather than physical goods, traditional "returns" do not apply. Instead, this policy governs booking cancellations, refund eligibility, and service modifications for our Community Group Ride Packages, Corporate Cycling Days, Charity Century Organiser services, and associated add-ons.
1. Scope of This Policy
This policy applies to all bookings made directly with Tendonsenergy for joint cycling event organising services. It covers:
- Community Group Ride Package (£450 + VAT)
- Corporate Cycling Day (£1,200 + VAT)
- Charity Century Organiser (£850 + VAT)
- Add-on services including bike hire coordination, extended photography, and premium catering
- Custom and bespoke event packages quoted individually
2. Booking Confirmation
A booking is considered confirmed only when all of the following conditions are met:
- A signed event agreement has been received from the client
- The required deposit payment (thirty percent of total package price) has been processed
- Tendonsenergy has issued a written booking confirmation via email
- The requested event date is available and has been reserved in our calendar
Enquiries submitted through our contact form or initial consultations do not constitute confirmed bookings.
3. Cancellation by the Client
3.1 Standard Cancellation Terms
Clients may cancel a confirmed booking by submitting written notice to feedback@tendonsenergy.world. Refund amounts depend on the timing of cancellation relative to the scheduled event date:
- More than 60 days before the event: Full refund of all payments made, minus a £50 administration fee
- 30 to 60 days before the event: Fifty percent of the total booking value is refundable. The remaining fifty percent is retained to cover planning costs and lost booking opportunity
- Less than 30 days before the event: No refund is available. The full booking value is retained
3.2 Deposit Forfeiture
The initial deposit is non-refundable if cancellation occurs less than sixty days before the event date. For cancellations more than sixty days before the event, the deposit is refunded in full minus the £50 administration fee.
3.3 Partial Cancellation of Add-On Services
Add-on services may be cancelled independently of the main event package if notice is provided at least fourteen days before the event. Refunds for cancelled add-ons are calculated based on costs already incurred by Tendonsenergy in arranging the service. Add-ons cancelled less than fourteen days before the event are non-refundable.
4. Rescheduling and Date Changes
Clients may request a date change subject to the following conditions:
- Rescheduling requests made more than thirty days before the original event date incur a £75 rescheduling fee
- The new date must be within twelve months of the original booking date
- Rescheduling is subject to availability and may not be possible during peak season (May through September)
- One free rescheduling is permitted for cancellations caused by Tendonsenergy (see Section 5)
- Rescheduling requests made less than thirty days before the event are treated as cancellations under Section 3
5. Cancellation by Tendonsenergy
We may cancel or postpone an event in the following circumstances:
- Severe or dangerous weather conditions making cycling unsafe
- Public health emergencies or government-imposed restrictions on gatherings
- Failure to meet the minimum participant threshold specified in the event agreement
- Unforeseen venue or route access issues beyond our control
- Force majeure events as defined in our Terms of Use
When we cancel an event, the client may choose one of the following remedies:
- Full refund of all payments made for the cancelled event
- Rescheduling to an alternative date at no additional cost within twelve months
- Credit note for the full booking value applicable to any future Tendonsenergy service within eighteen months
6. Refund Process
Approved refunds are processed as follows:
- Refunds are returned to the original payment method used for the booking
- Processing time is five to ten business days from the date of approval
- Bank transfer refunds may take an additional three to five business days to appear in your account
- A refund confirmation email is sent once the transaction is initiated
- Administration fees and non-refundable portions are clearly itemised in the refund confirmation

7. Service Modifications After Booking
Clients may request modifications to their booked cycling event package, including changes to rider numbers, route distance, add-on services, or event timing. Modification requests are subject to the following:
- Increase in rider numbers or services: Price adjustments apply based on current rates, payable before the event
- Decrease in rider numbers: No refund for reduced numbers if the change is requested less than thirty days before the event
- Route changes: Permitted up to twenty-one days before the event at no additional charge, subject to feasibility assessment
- Branding or signage changes for corporate events: Permitted up to fourteen days before the event
8. Individual Participant Withdrawals
For events where individual participants register through our platform, the following applies:
- Individual participants may withdraw up to seven days before the event for a full registration fee refund
- Withdrawals within seven days of the event are non-refundable
- The booking client (organisation or club) is responsible for communicating withdrawal policies to their participants
- Minimum participant numbers specified in the event agreement must be maintained or the booking client may incur additional charges
9. Service Dissatisfaction and Complaints
If you are dissatisfied with the delivery of our cycling event services, we encourage you to contact us within fourteen days of the event date at feedback@tendonsenergy.world. We will investigate your complaint and may offer:
- A partial refund proportional to the service element that did not meet agreed standards
- A credit note for future services
- Complimentary add-on services on a future booking
Each complaint is assessed individually based on the event agreement, service delivery records, and participant feedback. We aim to resolve all complaints within twenty-eight days of receipt.
10. Non-Refundable Items
The following charges are non-refundable under all circumstances:
- Third-party costs already incurred on behalf of the client, including permit fees, venue hire deposits, and catering commitments
- Custom branding materials that have been printed or produced
- Travel and accommodation costs for Tendonsenergy staff dispatched to event locations
- Administration fees specified in this policy
11. Your Consumer Rights
Nothing in this Return Policy affects your statutory rights under the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. If our cycling event services are not delivered with reasonable care and skill, or do not match their description, you may be entitled to a remedy under consumer protection law.
12. Disputes and Escalation
If you are unable to resolve a refund or cancellation dispute directly with us, you may refer the matter to an alternative dispute resolution provider. Tendonsenergy is committed to working with clients to reach fair and reasonable outcomes for all cycling event booking matters.
